Privacy Policy VOIspeed GUI

In this page you will find the information regarding the way the system processes data the first time you login to the
VOIspeed Graphical User Interface (VOIspeed GUI). The terms of use of the software is defined in the Telephony Services
Agreement between your company and VOIspeed Limited. The protection of sensitive data is regulated by General Data
Protection Regulation (GDPR) that comes into force on 25th May 2018, but more importantly is a value that here at
VOIspeed Ltd we all believe in and drives the design effort of our software.

The data Processor is VOIspeed Limited, UK company registered at 26 London Road, St Albans, AL1 1NG, United Kingdom,
part of the TeamSystem group, which has appointed a Data Protection Officer (DPO) for the entire group, incompliance with GDPR regulations.

DATA PROCESSING INFORMATION

In the list below you can find what data is processed and how it is processed.
VOIspeed GUI is an advanced tool allowing you to log access, save and remove data allowing you to be compliant easily.

 

Name, Surname, Email and Password

Purpose of the processing
  • Allowing to create or activate a user account associated with VOIspeed GUI.
  • Enabling access to the range of telephony services offered by VOIspeed using the GUI.
  • Recover login data to access the VOIspeed GUI.
  • Comply with relevant legal requirements.
Optional or compulsory data association
  • Mandatory to create or activate a new account associated to VOIspeed GUI.
  • Mandatory to access to the range of telephony services offered by VOIspeed using the GUI.
How and where your data is processed
  • The data processing related to the creation or activation and use of your account via the VOIspeed GUI is carried out either at your own site (i.e. the end user) or, when the Data Processing is carried out on behalf of TeamSystem or VOIspeed Ltd., where the responsible entity is based, within the European Union or the United Kingdom.
What is the legal basis for the processing
  • With regard to the creation, activation and use of an account associated to your extensions number needed to login to the VOIspeed GUI, the processing is required to allow you to benefit from VOIspeed state of the art telephony services.
Who may have access to your data
  • Your data may be communicated to other companies within the TeamSystem Group for diagnostic reasons in order to resolve a technical issue or to manage the access profiles if you are using another TeamSystem software application. In each instance the company accessing the data will be responsible for data processing in compliance with GDPR regulations.
  • Provided you have given your consent, your data may be processed for marketing purposes by TeamSystem, VOIspeed Ltd. or its contracting businesses responsible to carry out the processing (e.g. an external marketing company operating as a Data Processor) in compliance with GDPR.
  • Your data may be communicated to an external Authority if required to do so by law.
How long your data is kept
  • Your data will be retained for the duration of the account until it is erased from the system. Data may be stored for up to 10 years in order to resolve possible future disputes.
  • When used for marketing purposes, your data will be retained until you revoke your consent. Profiling data will be saved for a maximum of 24 months or until the maximum term allowed by law.

IP address, browsing and log data

Purpose of the processing
  • Usage reports of VOIspeed GUI.
  • When session or technical cookies ar installed to improve the performance and functionalities of our telephony services available via VOIspeed GUI.
Optional or compulsory data association
  • Mandatory when accessing all telephony services available through VOIspeed GUI.
How and where your data is processed
  • The data processing related to the creation or activation and use of your account via the VOIspeed GUI is carried out either at your own site (i.e. the end user) or, when the Data Processing is carried out on behalf of TeamSystem or VOIspeed Ltd. (e.g. logging of data hosting collected for the client), where the responsible entity is based, within the European Union or the United Kingdom. Personal data are processed prevalently using automatic tools. Security instruments and practices are employed to avoid illecit use of data, theft and unauthorised access.
What is the legal basis for the processing
  • Your data is processed to give you the tools required to access the GUI, the admin interface of the system, or any website or online portal available to you via TeamSystem and VOIspeed Ltd.
  • Provided you have given your consent, your IP address and browsing history may be processed for marketing purposes or user profiling.
Who may have access to your data
  • Your data may be communicated to other companies within the TeamSystem Group for diagnostic reasons in order to manage the technical aspects of your account associated to your VOIspeed GUI (the log data will be stored by a third party supplier with a data center located within Europe).
  • Your data may be communicated to an external Authority if required to do so by law.
How long your data is kept
  • Your data will be retained for the duration of the account until it is erased from the system. Diagnostic logs will be stored in the system for up to 24 months to allow for internal processes completion. Data may be stored for up to 10 years in order to resolve possible future disputes.

Data related to inbound/outbound calls, audio recordings, voicemails, chat messages, file transferred and SMS sent

Purpose of the processing
  • Allowing you to access the services available with our telephony platform using VOIspeed GUI.
  • Provide technical support in relation to our products and services via VOIspeed GUI.
Optional or compulsory data association
  • Mandatory to allow you access to our roducts and services via VOIspeed GUI and to give relevant technical support.
How and where your data is processed
  • The data processing related to the use of our products and services through VOIspeed GUI and access to relevant technical support is carried out either at your own site (i.e. the end user) or, when the Data Processing is carried out on behalf of TeamSystem or VOIspeed Ltd., where the responsible entity is based, within the European Union or the United Kingdom.
  • Personal data are processed prevalently using automatic tools. Security instruments and practices are employed to avoid illecit use of data, theft and unauthorised access.
What is the legal basis for the processing
  • With relation to the use of our telephony products and services available to you via VOIspeed GUI and access to relevant technical support, your data will be processed in response to your requests or that of a VOIspeed client.
Who may have access to your data
  • Your data may be communicated to other companies within the TeamSystem Group for diagnostic reasons to resolve a specific issue related to your VOIspeed GUI.
  • Your data may be communicated to an external Authority if required to do so by law.
How long your data is kept
  • Your data will be retained for the duration of the account until it is erased from the system. Data may be stored for up to 10 years in order to resolve possible future disputes.

Changing your selections and revoking your consent

If you change your mind at any point in future, you can modify the choice you have made by contacting us as described below. Revoking or not giving your consent, where it is required to perform the duties of the contract, may lead to the impossibility of providing you with our services. and the use of VOIspeed software.

 

Your legal rights

You can access and receiev your data in electronic format at any point in time and at no extra cost to you. Your data can be transferred to another data processor (data portability) or have them amended, updated, modified or erased unless otherwise required by law. We would like to draw your attention to the fact that any data cancellation request is subject data storage regulations and/or defined in compliance with the requests of your company’s DPO.
